Free Printable Farewell Letter Templates

    Farewell Letter is a written way to leave a polite and professional goodbye message to colleagues when leaving work (resignation), intra-team transfer or retirement. The common practice in the US is to share a short email or Slack/Teams message in the last week after two weeks’ notice has been given. The tone should be positive, thank-focused, “not burning bridges” and respectful of privacy/policy boundaries. Rights such as wages, PTO payment, and COBRA are not discussed in the Farewell Letter; these are addressed in the HR channel.

    • Subject Line and Greeting: Make the subject line clear (Subject: Farewell and Thank You). Use the name in the address according to the US style (“Hi team,” / “Dear all,”). Main Message” veya “Letter Body:
    • Gratitude and Key Contributions: 1–2 Briefly mention the success or learning.
    • Transition note: Specify to whom you are transferring ongoing tasks or the handover document.
    • Contact information: Share personal email and LinkedIn URL (not company address).
    • Closing: A simple signature such as “Best,” “Warm regards.”

    What to avoid: sharing internal strategy or private information, expressing personal resentments, or soliciting offers or job search conversations. Keep the style general; short and positive sentences such as ”I’m grateful …“, ”I’ve learned a lot from this team …” are preferred.

    Timing and Recipients

    Send the farewell letter during your final week after you’ve given two weeks’ notice and aligned on the tone with your manager or HR. The first submission is for the ”core team“ (the team you work directly with); the broad ”all-hands/company-wide” announcement is made only with the approval of the administrator or HR. Don’t over-replicate recipients; CC your manager and the person who will take over the job, but only send a short external farewell note to external stakeholders (client, agency) if your role is face-to-face with the client.
